We use the information we collect to:

  • Provide, maintain, and improve the Evidence Pack platform
  • Process transactions and send related information
  • Send operational communications (account confirmations, security alerts)
  • Respond to comments and questions and provide customer support
  • Monitor and analyze usage patterns to improve user experience
  • Detect and prevent fraudulent transactions and other illegal activity

3. Data Storage and Security

Your data is stored on secure servers and protected using industry-standard encryption (TLS in transit, AES-256 at rest). We implement access controls so that only authorized personnel within your organization can access your operational data.

GPS location data, incident reports, and patrol records are stored for the retention period of your plan (6 months for Starter, 1 year for Professional, 3 years for Business). You may request deletion of your data at any time by contacting us.

4. Data Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • Service providers: We use trusted third-party services (Stripe for payments, cloud hosting providers) that are contractually required to protect your data.
  • Legal requirements: We may disclose your information if required by law or in response to valid legal process.
  • Business transfers: In the event of a merger or acquisition, your data may be transferred as part of that transaction.

5. Client Portal Data

When you share incident reports or documentation via the Evidence Pack client portal, that data is accessible to the specific client you have granted access to. You control which records are visible through the portal sharing settings.

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Export your operational data in a portable format
  • Opt out of non-essential communications

7. Cookies and Tracking Technologies

We use cookies and similar technologies to operate the Service and understand website usage. This includes session cookies for authentication and analytics/advertising pixels from Meta (Facebook), Google, and LinkedIn to measure visits, campaign performance, and lead generation activity on our marketing pages.

You can manage cookie preferences in your browser and use provider opt-out controls, including Google Ads Settings, Meta Ad Preferences, and LinkedIn Ad Settings. Blocking essential cookies may prevent you from signing in or using parts of the platform.
